Job Summary

Under general supervision from the Department Chair, this temporary position is responsible for duties related to the overall administrative and clerical support functions of the department. This position will provide department office reception acting as the first point of contact for visitors, students, and faculty. The position assists the department in ensuring campus policies and procedures are followed, provides work direction to student assistants, and coordinates a wide variety of administrative functions which may include scheduling, procurement, travel, events, and more.

  • Act as first point of contact in the department office for visiting guests, students, staff, and faculty and assist/redirect as needed.  
  • Hire and provide work direction to student assistants including but not limited to scheduling and assigning work.
  • Act as the department student timekeeper assisting faculty with hiring and monthly timesheet approvals for both Student Assistants and Instructional Student Assistants.
  • Prepare documentation for department and committee meetings, take minutes, and set reminders for follow-up items.  Manage department room calendars and work directly with faculty on room reservations.  Schedule department meeting spaces and rooms.
  • Coordinate and support department events.  This may include Industrial Partnership Program and fundraising/alumni activities, meetings, commencement activities, and tours for visiting prospective students and families. 
  • Support faculty recruitment as needed including travel arrangements, scheduling, and hosting activities.
  • Assign independent study permission numbers.  
  • Assist students, student clubs, and student assistants with administrative needs. Direct students to appropriate offices on campus for assistance as needed. Connect students with chair or faculty advisors as needed.    
  • Maintain and keep current jobs board, course schedule posting, and general department bulletin boards.
  • Coordinate information for the department website and newsletter in collaboration with the CENG media team.  Provide as-needed digital and print media services for the department including the monitoring of social media channels and posting regular updates.    
  • Process travel and reimbursement forms. Input purchase requisitions. Make purchases for department and office from various funding sources including, state, foundation, and corporation accounts.

Education and Experience

High school diploma or its equivalent. Five years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)

Salary:

Anticipated Hiring Range: $22.30 - $24.50 hourly

Classification Range: $22.30 - $36.55 per hour
