Job Summary

Front Office & Reception

  • Serve as the primary contact and represent the CENG dean’s office to campus personnel, public, vendors, government, and agency representatives. Receive initial phone calls, review emails, and receive forms. Interpret and professionally respond to requests for assistance. Direct and redirect requests to the appropriate entities for solutions.
  • Manage Dean’s Office email account, respond to inquiries in a timely and appropriate manner.

  • Order office supplies and equipment. Maintain clean and organized mailroom and front office reception area. Ensure office supplies are readily available.

Associate Dean Support

  • Provide administrative support for the three Associate Deans including but not limited to calendar management as well as meetings and project support.
  • Assist Associate Deans’ travel arrangements including the coordination and arrangement(s) in compliance with state regulations regarding insurance and University Risk Management policies and guidelines. Prepare itineraries, travel notes, necessary travel documentation, and other pertinent information to ensure a successful trip. Maintain all records needed to process accurate and timely travel claims upon return.

College Space Management

  • Review, respond to, and coordinate room reservations, facility requests, and access to college spaces. Ensure compliance with college space usage policies.

Additional Office Duties

  • Office supplies – ordering, inventory
    • Procurement card and related finance reconciliations monthly.

  • Event support 
    • Coordinate meals, location, appropriate reservations and any related documentation needed for approvals such as hospitality form and alcohol approval

Education and Experience

High school diploma or its equivalent. Five years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)

Salary:

Anticipated Hiring Range: $23.41 - $25.75

Classification Range: $23.41 - $38.38 per hour
