Job Summary:

Under general supervision, this position serves as the MSPA and Graduate Admissions Specialist for the Master of Science in Physician Assistant (MSPA) program and the Office of Graduate Studies. This role is responsible for coordinating clerical and administrative support functions for the MSPA and Graduate Studies departments and is jointly evaluated and supervised by the Director of MSPA and Dean of Graduate Studies.

Duties and responsibilities

MSPA Admissions:

  • Support the initial application review for the Master of Science in Physician Assistant (MSPA) program with the Graduate Admissions Counselor.
  • Independently gather, compile, and analyze MSPA admissions materials to support decision-making and policy adherence in the review process.
  • Monitor the program materials e-mail. Assist MSPA applicants and students to resolve special issues related to applying online and admission. 
  • Review and analyze transcripts and other complex records of applicants to determine eligibility requirements; including but not limited to course requirements, GPA requirements, experience hours, and other program-specific requirements.
  • Perform accurate review of documents for GPA calculations, acceptable courses, etc. and enter the admissions decisions and other pertinent information into PeopleSoft and the CAS system.
  • Ensure applications are complete by communicating with applicants and monitoring the intake of any missing application materials.
  • In collaboration with the Graduate Admissions Counselor, respond to all MSPA program admissions-related inquiries and emails.
  • Provide ongoing updates and effective collaboration with MSPA Program Director and Graduate Admissions Counselor.
  • Coordinate logistics and scheduling of MSPA program interviews (in-person and/or virtual).
  • Share information on updates to the application system and work with leadership to identify changes to the application and transcript process that need to be shared with campus and community constituents.
  • Communicate updates to applicants in all phases of the admission and matriculation process with the guidance of the Graduate Admissions Counselor, including (but not limited to) interview invitation, acceptance, waitlist, denial, and program level admissions requirements for matriculating students.

Admissions Evaluations:

  • Independently assist via telephone, email, and in-person, applicants, faculty, and staff with complex admission issues, providing accurate guidance and resolution based on policy and procedures.
  • Evaluate Graduate Admission applications and transcripts by following both CSU and CSUSB criteria.
  • Collaborate with graduate coordinators and other campus partners, such as Registrar and ASR to correct student program status and support students, faculty and staff accordingly.

Admissions Operations:

  • Support the day-to-day operations of graduate admissions, including downloading applications, communicating program admissions decisions with applicants, and troubleshooting admissions integrations including PeopleSoft and the CRM to ensure accurate and timely processing.
  • Independently process and verify official transcripts, ensuring alignment with CSU and CSUSB admission standards.
  • Provide back-up assistance to other graduate admissions staff as needed.
  • Assist with implementing year-end survey for graduate coordinators and with assessment reporting.
  • Add program level materials for incomplete applications by the checklist management function in PeopleSoft.
  • Assist with generating and analyzing admissions reports to support strategic planning.

Other

  • Perform all other classification-related duties as assigned.

Minimum Qualifications:

  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
  • Two years of related experience

Required Qualifications:

  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

Preferred Qualifications:

  • The ideal candidate will possess a solid understanding of university admissions processes and demonstrate proficiency with systems such as PeopleSoft and CAS. They should be highly organized, capable of managing multiple priorities independently, and skilled in identifying and resolving issues effectively. Strong communication and interpersonal skills are essential.
  • Two or more years of experience using PeopleSoft Campus Solutions and CAS application portal.
  • Experience working in graduate admissions or higher education settings.
  • Familiarity with graduate program admission requirements, policies, and timelines.
  • Demonstrated ability to apply institutional policies and procedures to improve operations.
  • Strong analytical skills, including the ability to interpret and evaluate data and recommend process improvements.
  • Self-motivated with a proactive approach to task management and customer service.
  • Proven ability to communicate complex information clearly to diverse audiences.
  • Experience working effectively in a collaborative, team-oriented environment.
  • Administrative experience involving study, analysis, and evaluation of admissions or academic program processes.
  • One year of related experience in admissions, student services, or a comparable administrative support role is preferred.

Compensation and Benefits:

Anticipated Hiring Range: $4,598 per month

Classification Salary Range: $4,598 - $8,318 per month

 

The salary offered will take into account internal equity and experience among other factors.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Full-time Exempt Temporary (up to one year with the possibility of further renewal)

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment.  CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information.  Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Drivers License Check

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
