    • Position Summary
    • Full-time position available on or after August 4, 2024 in Human Resources.



      The Payroll Technician I applies a general knowledge of payroll and personnel methods, procedures, and practices to perform standardized payroll and personnel transactions. Incumbents provide information on payroll and personnel transactions, and provide guidance and assistance on processing routine matters, such as answering questions on the basis of clearly applicable rules and regulations. Incumbents also communicate established policies and procedures to faculty, staff and the general public, deferring to appropriate staff member when more extensive interpretation is required.

    • Job Duties
    • Duties include but are not limited to:
      • Initiate and process payroll transactions for student assistants, hourly intermittent staff, special consultants, and faculty in special or extension sessions.
      • Perform pay-related adjustments including accounts receivable and retroactive salary or time base changes.
      • Submit and manage electronic files and manual entries including the PIP file transmission to the State Controller's Office (SCO) and input of hardcopy timesheets.
      • Interpret and apply policies and procedures based on state and university payroll manuals, technical letters, and collective bargaining agreements.
      • Monitor and resolve self-service timesheet exceptions and errors for hourly employees.
      • Respond to inquiries and provide guidance to employees on payroll-related self-service functions.
      • Run and review CIRS reports to identify and resolve discrepancies in issued warrants.
      • Provide address updates in the PIMS system based on CMS self-service query results.
      • Support Payroll Manager in CMS-related tasks such as closing payroll calendars and initiating month-end processing.
      • Perform absence management entries and adjustments for separating hourly employees.
      • Conduct basic analysis and assist with research on payroll transactions as directed.
      • Process salary advances and payroll forms such as Form 674 and other miscellaneous pay requests.
      • Provide assistance and serve as a backup to other payroll technicians during regular payroll cycles.
      • Other duties as assigned.
    • Minimum Qualifications
    • Education:  Any equivalent combination of education and experience which provides the required knowledge and abilities.

      Experience:  Equivalent to one year of general administrative experience in payroll and human resources recordkeeping and data entry which has provided the above knowledge and abilities.

    • Preferred Qualifications

      • Bachelor’s degree in Business Administration, Human Resources, Accounting, or a related field; or a combination of education and experience equivalent to four years of progressively responsible payroll or personnel administrative support experience.
      • Minimum of two years of experience processing payroll in a high-volume, deadline-driven environment, preferably in a public sector or higher education setting.
      • Experience using enterprise human resource management systems such as PeopleSoft (CMS), or similar payroll and HRIS platforms.
      • Familiarity with California State University (CSU) payroll policies, State Controller’s Office procedures, or equivalent regulatory frameworks.
      • Strong knowledge of payroll procedures, employment classifications, and related policies.
    • Knowledge, Skills, Abilities

      • Working knowledge of general office methods, practices and procedures.
      • Ability to acquire working knowledge of, and independently select and apply, CSU policies, procedures, programs, guidelines, applicable state and federal laws, educational codes, and collective bargaining agreements.
      • Ability to, or acquire the skill to, use web browsers, electronic calendaring programs, ERP/HRIS, and data management systems.
      • Ability to audit and reconcile data; interpret and apply written rules and regulations;
      • Ability to establish and maintain effective working relationships with others;
      • Ability to exercise tact, courtesy and good judgment in responding to others;
      • Ability to use current computer word processing and spreadsheet software programs;
      • Ability to perform mathematical calculations; accurately enter data;
      • Ability to follow oral and written instructions;
      • Ability to communicate effectively with others;
      • Ability to read and write at a level appropriate to the position.
    • Salary Range
    • Anticipated salary will be $3,680 - $4,048 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full range: $3,680 - $5,961 per month)
