Job Summary

Under the direction of Assistant Director, Budget & Facilities Manager and lead by the Admin Support Coordinator, the Administrative Support Assistant supports Counseling and Psychological Services (CAPS) and Student Health Services (SHS) operational goals through administrative efforts.  The incumbent responds to in-person, phone and email inquiries from students, faculty, staff and public about the services offered as assigned. This position represents CAPS/Student Health Services (SHS) to the university campus and outside campus community.  Ability to maintain confidentiality is of the utmost importance.  This position will work both in CAPS and or SHS as assigned and based on operational need. This position will be trained on proper procedures and protocols to route students to the appropriate resources based on their need including expediting student calls dealing with high levels of behavioral and or physical health concerns.

Furthermore, the incumbent provides services that are equitable, inclusive and provide culturally sensitive services that enhance the quality of campus life. This position uses a student centered and equity minded approach in all communication and service efforts.  It is imperative the incumbent demonstrates the ability to maintain equanimity during urgent, emergencies, and or complex/challenging situations.

Key Responsibilities

  • Receptionist/Front office functions for CAPS and SHS - Provide excellent customer service to student patients and campus community. Check-in patients and verify demographics including applying proper process and procedures.
  • Answers all calls on multi-line console; screens and routes each call to appropriate individual, department, and or resource.
  • Provide updates and or appraise supervisor of complex issues as needed. Ensure issues of concern are handled immediately.

Knowledge Skills and Abilities

Comply with HIPAA Health Care Privacy and Security Law. Ability to provide excellent customer service to the Campus community, vendors, and other outside agencies. Skill in performing customer service in a polite and timely fashion: ability to identify what customer needs and reroute him/ her to the correct department; ability to relay customer requests and complaints accurately and appropriately; to describe and convey services provided by the Division.

Excellent oral communication skills and effective interpersonal skills required. Incumbent must have experience processing, answering and following-up as needed with office mail, phone calls, email and in-person visitors. Must be  able to respond to complex inquiries from the public and from CSULB employees and students. Due to telephone and in-person interactions, must possess the ability to understand, interpret and respond (orally and in writing) to a broad range of complex issues, procedures, policies, ideas, information and instructions.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

• Equivalent to three years of administrative support experience required.

• Experience working in a service-oriented medical office that is fully electronic preferred.

• Knowledge of college or university health care center setting preferred.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $3,864 - $4,250 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,680 - $5,417 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
